Real-Life Example: Building a School Educational Pack on a Fixed Budget
Real-Life Example: Building a School Educational Pack on a Fixed Budget
When it comes to custom gift packs, the real challenge isn’t choosing products—it’s delivering the right outcome within a set budget. A school educational pack we produced is a great example of how smart product selection, consistent branding and offshore sourcing can make a big difference.
The Brief
The client wanted to create an educational welcome to school pack for preschoolers moving on to “big school”. The packs needed to be practical, age-appropriate and ready to hand out immediately. There was also a strong focus on:
• Keeping costs under control
• Presenting the pack in a thoughtful, cohesive way
• Ensuring backpack were clearly identifiable as belonging to each child
Importantly, every pack had to arrive fully assembled and ready to distribute.
The Pack Components
After reviewing the brief and budget, we built the pack around everyday school essentials:
• Kids backpack – used as the main carry item
• Insulated cooler bag – for lunches
• Drink bottle
• Pencil case containing:
• Lead pencils
• Colour pencils
• Crayons
• Rubber
• Small ruler
• A5 notebook
• Name tag to identify each students bag
All items featured the same full-colour artwork (except water bottle, which reverted to brand colours black and white), creating a consistent and engaging look across the entire pack.
Where the Value Was Created
This project is a perfect example of how value for money is often achieved behind the scenes.
1. Consistent Decoration Method
By sourcing offshore, we were able to:
• Use the same decoration method on both the backpack and cooler bag
• Apply one artwork setup across multiple products
This significantly reduced setup and decoration costs while maintaining a strong visual result.
2. Smart Use of Existing Products
Instead of custom-manufacturing a name tag, we used:
• A standard luggage tag
• A custom printed insert
This achieved the same outcome at a much lower cost than producing a fully custom item.
3. Adjusting Product Specifications (Without Losing Impact)
To meet the client’s budget:
• The colour pencil pack was reduced from 12 pencils to 6
• Branding was applied to the pencil case only, not each individual stationery item
• Generic boxed colour pencils and crayons were used inside the case
• Water bottle, instead of a full colour print, the one colour print significantly reduced the cost. (by using the brands colours were able to keep Brand integrity)
The result? The pack still felt complete and purposeful, without unnecessary branding costs.
4. Offshore Packing and Assembly
Because the project timeline allowed for offshore production:
• All items were packed into the backpacks at the factory
• Packs were shipped fully assembled
This eliminated the need for:
• Local packing and labour
• Additional handling
• Internal freight and distribution within Australia
Shipping directly from the offshore manufacturer to the client delivered substantial savings and simplified logistics, saving time and money.
The Outcome
The client received:
• A fully assembled educational pack
• Consistent branding across all major items
• A practical, age-appropriate solution
• A project delivered on budget without compromising quality or intent
Most importantly, the packs were ready to be handed directly to children—no unpacking, sorting or additional work required.
Final Takeaway
This project highlights exactly what we mean by best value for money. It wasn’t about cutting corners—it was about making informed decisions:
• Using consistent branding methods
• Leveraging existing products
• Adjusting specifications where it made sense
• Taking advantage of offshore sourcing when time allowed
With the right planning and experience, even complex gift packs can be delivered efficiently, affordably and with real impact.
